Exporting Survey Data

If you want to know how you would be able to export the Survey data in a more traditional format (table view), continue reading.


How do I export the Surveys Data? #

You can access the data through two places – the Analytics menu and the Surveys themselves.

The next couple of bullet points will only cover where to find and access the Export in both of the options. Afterwards, we will cover the Export and its options as they are the same for both places.

Analytics #

Navigate and open the Analytics from the left-side menu and select Exports from the available options. On the new page, click on the New Export button located new the top right corner.

Surveys #

Navigate and open the Data platform from the left-side menu and select Surveys from the available options. One the new page, click on the Export button located next to the Date range on the left side:

Doing so will open a pop-up window with the available options for the Export:

Setting up the Data Export #

As with the rest of the Exports in Releva, here as well you will have option for a One time export alongside with Periodic options, so let’s cover each of them separately with all of their options:

One Time Export #

Let’s cover each of the options for this export:

  1. Name – this would be the name of the report itself as created. We recommend you write a descriptive and short name so you can easily understand what this reprort is for down the line.
  2. Type – one Time is selected by default and this mean exactly what you think it does – the report is created only once based on your request and sent to you right away.
  3. Period – here you need to select a From and To dates and the report will contain the Survey statistics for the seelcted period.
  4. Scope – if you access the Export menu through the Surveys menu, the Scope will be automatically selected as Surveys. If you decide to access this through the Analytics → Exports though, here you will need to select Surveys from the drop-down menu.
  5. Selection:
    1. All – this option will gather the Statistics for every single Survey you have and the data gathered will be for the selected dates in the Period section.
    2. Specific – choosing this option will allow you to choose one of your Surveys via a drop-down menu so the generated export will only contain data for it.
  6. Recipients – this field is automatically populated with your Releva Admin email address but you have the option to select more recipients via the drop-down menu and even type in email addresses that aren’t present.

When you have filled all of the options, click on the Create Export button located at the bottom left of the pop-up or page (depending on where you access the Exports from).

Periodic Export #

Let’s cover each of the options for this export:

  1. Name – this would be the name of the report itself as created. We recommend you write a descriptive and short name so you can easily understand what this reprort is for down the line.
  2. Type – even though One Time is set as default, you can change it to Periodic in order to receive a recurring export of the data.
  3. Schedule – here we have three options from the Select drop-down, so let’s check each of them:
    1. Week – choosing this option will allow you to choose the day of the week on which you would like to receive the Export via email.
    2. Month – choosing this option will allow you to choose the day of the month on which you would like to receive the Export via email via another drop-down.
    3. Year – choosing this option will allow you to choose the day and month on which you would like to receive the Export via email via individual drop-down for each option.
  4. Scope – if you access the Export menu through the Surveys menu, the Scope will be automatically selected as Surveys. If you decide to access this through the Analytics → Exports though, here you will need to select Surveys from the drop-down menu.
  5. Selection:
    1. All – this option will gather the Statistics for every single Survey you have and the data gathered will be for the selected dates in the Period section.
    2. Specific – choosing this option will allow you to choose one of your Surveys via a drop-down menu so the generated export will only contain data for it.

Receiving the Export #

After the button Create Export has been clicked, this will send a backend request for the data to be gathered into a .CSV file and when the file is ready for download, you will receive an automatic email witht the download link similar to this:

Please note, the file generation can take awhile especially if the selected From and To period or the Survey data is large, so please be patient.
